Approval Workflow System

Context
This project introduced a structured approval workflow for sensitive record updates across enterprise client management tools. Previously, critical record changes such as contact details and financial account information could be updated without oversight, creating compliance and accuracy risks. The new approval workflow ensured these changes went through a review and approval process before being finalized.


My Contribution
As the UX/UI Designer, I created a configurable and intuitive interface for both administrators and end users:
- Profiles & Applications: Designed configurable approval profiles for different user groups to support varying review and approval requirements.
- Entities & Forms: Built a drag and drop form builder so administrators could configure approval workflows with custom sections, labels, and helper text.
- Field Rules: Designed field level rules for read only states, approval requirements, and required field validation while aligning with existing system rules.


- Notifications: Designed configurable email templates with dynamic placeholders so users received clear updates throughout the approval process.
- Permissions & Indicators: Created role based permission controls with visual conflict indicators when approval permissions overlapped or conflicted.


- Dashboard Experience: Delivered a centralized dashboard for approvers to view pending requests, compare old vs. new values, and bulk approve/reject changes.
- Audit & Compliance: Incorporated an exportable audit trail showing who submitted, who approved, and what was changed.
- Visual Design: Designed the experience to align with the broader platform’s visual system instead of the legacy system styling, creating a more consistent user experience.
Outcome
The approval workflow system created a flexible and auditable framework for managing sensitive record changes. It improved compliance, reduced the risk of unauthorized updates, and gave clients more confidence in their data management processes. Building on lessons from earlier approval workflows, this solution expanded into a broader and more configurable system that could scale across multiple enterprise tools.
