Investor Communications Workflow

Role: Lead UX/UI Designer
Company: Allvue Systems

Context

This project was designed to help clients generate and distribute investor communications using structured financial data from an enterprise reporting platform. Users moved through a multi-step workflow to select a data source, choose recipients, configure document templates, generate documents, and distribute them through multiple delivery channels.

The original workflow was complex, visually dense, and difficult to navigate without training. I was brought in to simplify and complete the experience so users could move from data selection to distribution with more clarity and confidence.

My Contribution

As Lead UX/UI Designer, I restructured and simplified each step of the workflow:

Select Data Source
  • Reorganized the layout so all data sources appeared in a dedicated left column, clearly indicating where users should begin.
  • Aligned the right-side layout with the visual structure used when creating a data source, improving consistency and recognition.
Select Entity
  • Reduced unnecessary dropdown complexity after clarifying requirements with the Product Manager.
  • Replaced a small multi-select dropdown with a full entity list view, making it easier for users to review and select entities.
  • Moved the starting point of this step to the left column to keep the workflow consistent across each step.
  • Moved an important setup decision to the start of the workflow so later steps could be more focused and streamlined.
  • Moved persistent metadata (title and description) into the lower data preview area, freeing up valuable workspace and reducing distraction.
Setup Document Template and Generate
  • Combined template configuration and document generation into a single cohesive step to reduce context switching.
  • Redesigned the tag mapping flow into a clear two-step interaction:
    • Map the tag
    • Set its properties
  • Replaced a subtle pencil icon interaction with a clearer workflow to prevent missed configuration steps.
  • Added a Preview function so users could view a fully populated document before generation.
  • Allowed users to continue forward with a warning if mapping was incomplete, or if documents were not generated yet preventing unnecessary workflow blocking.
Deliver Documents and Tracking
  • Simplified the final step to focus on document delivery and tracking across multiple distribution channels.
  • Designed an approval process before delivery, added dashboard visibility for outgoing communications, and introduced tracking so users could monitor delivery status and engagement.
AI Reimagining

As AI became a larger strategic focus, I created a conceptual four-screen workflow showing how an agentic AI experience could simplify the process further by guiding users conversationally through data selection, template setup, and distribution.

Outcome

The redesigned workflow reduced cognitive overload and improved task clarity at every step. By simplifying layouts, reorganizing decision points, and improving interaction patterns, the experience became more intuitive and scalable.

The foundation supports both structured workflows and future AI driven enhancements, creating a stronger and more forward-looking enterprise communication tool.
